The information you share helps us understand how we could work together in the RETAIKO pilot.

Who handles your data

The controller is KubikGO S.R.L., a single-member company, VAT and tax number 02440930689, registered at Via Tiburtina Valeria 132, 65128 Pescara (PE), Italy. For applications and to exercise your rights, email info@kubikgo.com.

Application and follow-up

We collect your name, role, work email, company, industry, number of locations and team size; your improvement goal, current reward approach, tools and selected language. Your phone number is optional. We use these details to assess pilot suitability and follow up. The legal basis is taking pre-contractual steps at your request (GDPR Article 6(1)(b)) or, if you act for a company, our legitimate interest in handling its business enquiry (Article 6(1)(f)).

Which information is needed

Providing information is voluntary, but the required fields are needed to assess and handle your application. Acknowledging this notice is separate from marketing consent. We do not ask for salaries, health data or individual employee details: please do not enter these in free-text fields. The team reviews applications, without profiling or solely automated decisions.

Optional communications

Only if you select the separate checkbox may KubikGO email you updates and marketing communications about RETAIKO, based on your consent (GDPR Article 6(1)(a)). This choice does not affect pilot admission. You may withdraw at any time by emailing info@kubikgo.com; withdrawal does not affect the lawfulness of earlier processing. We do not give contacts to third parties for their own marketing.

Recipients, providers and retention

The form forwards your application to the company mailbox info@kubikgo.com. The website does not keep a separate application database. Data is accessible to people authorised to manage the project and to the providers needed for hosting (OVHcloud) and email (IONOS). We retain correspondence for as long as necessary to assess and handle the enquiry and any resulting relationship; further retention is limited to legal obligations or the protection of rights. Marketing data is retained until consent is withdrawn or the purpose ends, with periodic review of necessity. We do not arrange transfers outside the EEA for the form; any processing by providers outside the EEA requires the safeguards under GDPR Chapter V, about which you can ask the controller.

Operation and security

To serve pages and prevent abuse, we process IP addresses and technical request data based on our legitimate interest in keeping the website secure and available. The website proxy and server do not retain request logs. Identifiers derived from IP addresses and submissions using a temporary key remain only in memory for up to one hour to limit spam and duplicates. Technical error messages do not include form contents or email addresses.

Cookies and browser storage

This landing page uses no cookies, advertising pixels or remote fonts. Form data is not saved in browser storage. After submission, a technical browser-session marker enables the confirmation page: it contains no form fields, is valid for 15 minutes and is deleted when read. The website does not send an automatic email to applicants.

First-party analytics

To understand how pages are used and improve the website, we automatically collect statistics through Umami hosted on our VPS, without analytics cookies or a banner. The legal basis is our legitimate interest in assessing and improving the website (GDPR Article 6(1)(f)). We measure page path and language, the referring domain only, browser and device category, approximate geographical area and applications accepted by the mail server. We do not send form contents, names, emails, queries, titles or customer identifiers; we do not record sessions or link visitors across different websites.

Data minimisation and opting out

Before sending statistics to Umami, we reduce the IP address to a network prefix (/24 for IPv4, /48 for IPv6). Technical identifiers are temporary, daily and separate for each website; estimates do not reliably identify individual people. Dashboard access is restricted. Statistical data is retained for 90 days; encrypted backups may retain it for up to 30 additional days. We respect browser Do Not Track (DNT) and Global Privacy Control (GPC) signals. You may also object by emailing info@kubikgo.com. The form works even when analytics are disabled or unavailable.

Your rights

Where applicable, you can request access, correction, erasure, restriction and portability of your data, object to processing based on legitimate interests, and withdraw consent. Email info@kubikgo.com or write to our registered office. You may also lodge a complaint with the Italian Data Protection Authority (garanteprivacy.it) or your competent supervisory authority.
